The Jose Marti Alumni Association New York, Inc. ("JMAANY," "we," "us," or "our") is a 501(c)(3) nonprofit organization incorporated in the State of New York. This Privacy Policy explains what personal information we collect through jmaany.org (the "Site"), how we use it, who we share it with, and the choices you have.
By using the Site or submitting information through it, you agree to this Policy.
1. Information we collect
1.1 Information you give us directly
- Membership profile: When you complete the profile form after paying dues, we collect your name, email address, phone number (optional), JMTHS class year, chosen membership tier and billing cycle, and (optionally) your PayPal transaction ID.
- Donations: When you donate through a PayPal link on our Site, we do not receive your card details or PayPal credentials. We do receive from PayPal your name, email address, donation amount, currency, and designation (which fund the donation is for). We record these in our WordPress database along with a status flag.
- Program applications and contact forms: Scholarship applications, mentorship signups, event RSVPs, and messages you send through the Site collect the fields shown on the form (typically name, email, and free-text responses).
- Account credentials: If you register for the Members Portal we store your username, hashed password, display name, and any profile fields you fill in.
1.2 Information collected automatically
- Server logs: Our web host records standard request logs (IP address, user agent, referring URL, timestamps) for security and diagnostic purposes. Logs are typically retained for 30 days.
- Cookies: We use only the cookies WordPress needs to keep you logged in and to preserve form submissions across page reloads. We do not use advertising or cross-site tracking cookies.
- Analytics: If we enable a privacy-respecting analytics tool in the future, we will update this Policy and disclose it here. As of the effective date above, no third-party analytics or tracking pixels are active on the Site.
1.3 Information we do NOT collect or store
- Payment card numbers, CVV codes, or bank account numbers. All payments are processed by PayPal on PayPal's own website — we never see this data.
- Social Security numbers, driver's license numbers, or other government identifiers.
- Health or biometric information.
2. How we use your information
- To process donations and issue tax-deductibility acknowledgments as a 501(c)(3) nonprofit.
- To activate memberships, maintain the alumni roster, and grant access to the Members Portal.
- To review scholarship, mentorship, and program applications.
- To send you newsletters, event invitations, reunion announcements, and organization updates. You can unsubscribe at any time via the link in any email or by contacting us.
- To respond to your inquiries.
- To comply with legal obligations, including record-keeping required of tax-exempt organizations.
3. How we share your information
We do not sell, rent, or trade your personal information. We share information only in these limited cases:
- PayPal: When you donate, PayPal processes the payment under PayPal's Privacy Statement.
- Service providers: Our web host, email delivery provider, and (if used) email newsletter provider process data on our behalf under confidentiality obligations.
- Board members and volunteers: Authorized JMAANY board members and volunteers may access member and donor records to run the organization.
- Legal requirements: We may disclose information if required by law, subpoena, or a good-faith belief that disclosure is necessary to protect our rights, safety, or property.
- Aggregated / de-identified data: We may publish aggregate statistics (for example, "we raised $X for the scholarship fund this year") that cannot be used to identify any individual.
4. Donor privacy
We honor donor confidentiality. Unless you explicitly consent (for example, in a public acknowledgment list), we will not publish your name, donation amount, or contact information. If you wish to remain anonymous on any public acknowledgment, please tell us in advance at info@jmaany.org.
5. Data retention
- Donation records: Retained for at least 7 years to comply with IRS record-keeping rules for tax-exempt organizations.
- Membership records: Retained for the duration of your membership plus 7 years, unless you request earlier deletion.
- Application records: Retained for at least 3 years after the program cycle.
- Newsletter contacts: Retained until you unsubscribe.
6. Your choices and rights
- Access, correction, deletion: Email info@jmaany.org to request a copy of the personal information we hold about you, correct it, or ask us to delete it (subject to the retention obligations above).
- Unsubscribe: Every email newsletter we send includes an unsubscribe link.
- Cookies: You can block or delete cookies in your browser settings. Blocking essential cookies may prevent you from using the Members Portal.
7. Security
We use industry-standard measures to protect the information we hold: HTTPS/TLS on the Site, hashed passwords, restricted admin access, and reputable hosting. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a breach involving your personal information, we will notify you and appropriate authorities as required by law.
8. Children's privacy
The Site is intended for alumni and supporters of José Martí Technical High School and is not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child under 13 has provided us information, please contact us so we can delete it.
9. Third-party links
The Site links to external websites (for example, PayPal, YouTube videos, social media, and partner organizations). We are not responsible for the privacy practices of those sites. Please read their privacy policies before submitting information.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be posted on this page with a new "Last updated" date. Continued use of the Site after changes are posted means you accept the revised Policy.
